Working with TIMU's Mailbox

Are you just getting the hang of working with projects and modules in TIMU, and the notifications are starting to roll in like a rising tide? Maybe you're already A TIMU power user, looking for one more shortcut or customization option to help you get through all those weekly update messages. Wherever you are on the road to TIMU mastery, read on to learn how to navigate the mailbox like a pro.

The Basics

TIMU's mailbox is always accessible via the envelope icon in the upper left corner of the screen. You can also access your mailbox in the sidebar from any of the modules in your home area.

When you first open the mailbox, TIMU will present you with a feed showing all updates, with the most recent items on top. Unread items will be indicated by an orange dot marker, and items you've already opened will have an empty marker. If you want to mark something as read or unread, you can manually toggle the marker status by clicking on it.

Every item in the mailbox has three icons at its far right: a thumbtack, a flag, and an "X".

Click the flag icon to mark important items for fast retrieval. Each mailbox folder has a "Flagged" tab where these messages will be consolidated for easy access. Your mailbox also has its own dedicated "Flagged" folder where you can see a consolidated list of all flagged items across folders.

Click the thumbtack icon to the right of the item to pin an item. Pinned items will stay at the top of the folder view. If you want to keep track of an older comment, for example, you can pin that comment to see it immediately at the top of the list of communications.

Click on the “X” to the right of the item to delete a message. The message will disappear from the list. Note that deleted messages can still be viewed in the Trash folder.

Working with Folders

The mailbox comes with a pre-configured default set of folders, but you can also add your own configurable folders to collect and view your mail in different ways. To show your mailbox folders, click the small triangle in your sidebar, to the left of "Mailboxes".

To create a new folder, right-click on “Mailboxes" and select “Add Folder”. After you name the folder and click “Create”, the new folder will appear in your list of mailbox folders.

After creating a folder, you can right-click on it to bring up a menu with more folder options. From this menu you can rename or delete a folder, as well as create subfolders and perform tasks such as emptying a folder or marking all messages in the folder as read.

Mailbox Sorting Rules

To add a sorting rule to a folder, right-click on "Mailboxes" and select “Rules" to see a bullet-point list of mailbox rules. Click on an existing rule to edit it, or choose "Add to a Folder" to create a new rule.

Rules in TIMU are structured to read like regular sentences, using the format "When <condition>, If <optional condition>, Add To <folder>."

This might seem a bit abstract, so let's look at an example. Say you wanted to keep a close eye on the "Copywriting" project, and you want notifications from that project to appear in their own separate folder. You could create a new mailbox folder called 'Copywriting', and then make a rule like this:

With this rule in place, any notification from the "Copywriting" project will be appear in your regular inbox, and it will also be copied into the 'Copywriting' mailbox folder you created.

Changing Notifications Settings

If you find your external e-mail inbox getting flooded by notifications of TIMU activity, you can access the e-mail notification settings from the "Rules" page of your mailbox.

You can specify settings for two separate sets of notifications- one for private communications and @mentions, and another for general notifications. For both sets, you can specify whether notification e-mails should be grouped together into a single message, as well as the maximum frequency at which you want to receive them.

For example, imagine you have 19 items in TIMU that each generate a notification, contained in 3 separate projects. By default you will receive the notifications as 19 individual e-mails that are sent as the notifications occur. You can use the notifications settings to instead group the notifications into a series of hourly e-mails, three project-specific e-mails, or even a single daily e-mail containing all of the day's notifications.

To put this another way, using these options lets you choose whether you want to receive a larger number of shorter emails, or a smaller number of longer emails.

These tools are great for reducing your e-mail inbox clutter, but there is an important caveat:

Combining notifications reduces the total number of messages hitting your inbox, but puts lots more information into each message!

If you keep this in mind when setting up your mailbox rules, you should be able to choose settings that will allow you to easily find important notifications!

Closing Thoughts

TIMU's mailbox is kind of like a nice sports car- it drives great as soon as you get in, but you can also get under the hood and tune its performance to your own personal preference.

  • Use the orange dot marker to keep track of read/unread messages and the flagging/pinning tools to keep track of important messages and notifications.
  • Sort your notifications in TIMU by creating folders and assigning rules.
